Built for organizations
Meetwise is a business service. The customer organization manages its users, meeting workflows and permitted use.
These terms describe the baseline rules for business use of Meetwise. A signed order form, pilot agreement, data processing agreement or other written agreement takes precedence where it says something different.
A clear business agreement
The contract, workspace controls and human review work together to keep meeting intelligence useful and accountable.
Who the terms apply to and how written customer agreements take priority.
These terms apply when an organization or its authorized users access Meetwise websites, applications, devices, integrations, APIs or AI-assistant connectors. The organization accepting an order, pilot or account invitation is the customer and is responsible for its authorized users.
If a signed order form, pilot agreement, data processing agreement or other written agreement conflicts with these terms, that written agreement controls for the conflicting subject. Consumer use is not offered unless Meetwise agrees otherwise in writing.
Customers must provide accurate account information, keep credentials confidential, maintain appropriate administrators and promptly remove access that is no longer required. Users may only access the workspace and meeting information made available to their own account.
The customer is responsible for its internal authorization, recording notices, participant consent where required, workspace configuration, connected systems and instructions given to Meetwise.
Meetwise can capture or import meetings, create transcripts and structured meeting output, and connect approved information to customer-selected systems. Available features, supported devices, integrations and processing routes can depend on the plan, workspace configuration and technical availability.
Preview, beta, pilot and evaluation functionality may change, be limited or be withdrawn. Meetwise will not materially reduce paid core functionality during an agreed subscription term without a reasonable replacement or remedy.
The limits of AI output and the rules that protect users and meeting participants.
AI-generated transcripts, summaries, speaker labels, suggestions, decisions and action items may be incomplete or incorrect. They are drafts for review, not legal, medical, financial, employment or other professional advice.
Customers remain responsible for checking output before relying on it, sending it to another system or using it in a material decision, regulated record or external communication.
Users must not use Meetwise unlawfully, record people without an appropriate basis, infringe third-party rights, bypass access controls, probe or disrupt the service, introduce malicious code, resell access without written permission or use the service to create or distribute harmful or deceptive material.
Meetwise may limit or suspend access where reasonably necessary to protect users, data, the service or third parties, to investigate suspected misuse, or to comply with law. Where practicable, Meetwise will notify the customer and work to restore access promptly.
Ownership, privacy and connections to customer-selected systems and AI assistants.
The customer retains its rights in audio, transcripts, summaries, actions, corrections, participant information and other content submitted to or created for its workspace. The customer grants Meetwise the limited rights needed to host, process, secure, transmit and support that data according to the agreement and configured workflows.
Meetwise does not sell meeting content, use it for advertising or use it to train general AI models. The privacy policy explains roles, providers, retention, deletion, international transfers and data-subject rights. A data processing agreement applies where required.
Customers may connect services such as Microsoft 365, CRM systems or AI assistants. A connection only operates with the permissions granted by the relevant user or administrator. Third-party terms, availability, security and retention also apply after data is sent to that service.
The Meetwise MCP connector is read-only: it can return workspace and meeting information available to the authenticated user, but cannot edit or delete Meetwise data. Users can disconnect it in the relevant AI product and should report unexpected access immediately.
Fees, intellectual property, confidentiality and service commitments.
Fees, usage limits, taxes, billing intervals and renewal terms are stated in the applicable order or proposal. Unless that agreement says otherwise, fees are exclusive of applicable taxes and are non-refundable once the relevant subscription period or service has started.
Meetwise may suspend paid access after reasonable notice if undisputed amounts remain overdue.
Meetwise and its licensors retain all rights in the service, software, models, documentation, branding and improvements. Subject to payment and these terms, the customer receives a limited, non-exclusive, non-transferable right for authorized users to use the service during the agreed term.
Feedback may be used to improve Meetwise without identifying the customer or disclosing confidential information. No rights are transferred except those expressly stated.
Each party must protect the other party's confidential information using reasonable care and use it only for the agreement. This does not cover information that is public without breach, independently developed, lawfully received from another source or required to be disclosed by law.
Meetwise maintains technical and organizational safeguards appropriate to the service, including tenant separation, role-based access, private storage, encryption and audit controls. No online service can guarantee absolute security. Security concerns can be reported to the support contact below.
Meetwise will provide the service with reasonable skill and care and will address verified defects in accordance with the applicable support arrangement. Scheduled maintenance, third-party outages, customer systems and events outside reasonable control can affect availability.
Except for express commitments in an applicable written agreement, the service is provided without implied guarantees of uninterrupted operation, error-free AI output or fitness for a particular professional or regulatory purpose.
Liability, termination, data return and the law that applies.
Neither party is liable for indirect, incidental or consequential loss, loss of profit, goodwill or anticipated savings, except where such a limitation is not permitted by law.
Unless a written agreement sets another limit, each party's aggregate liability arising from the service is limited to the fees paid or payable for the service during the twelve months before the event giving rise to the claim. This limit does not apply to deliberate misconduct, gross negligence, breach of confidentiality, infringement by a party, unpaid fees or liability that cannot lawfully be limited.
An order or pilot runs for the stated term. Either party may terminate for a material breach that is not cured within a reasonable written cure period, or immediately where continued service would be unlawful or create a serious security risk.
After termination, access ends and customer data is returned or deleted according to the written agreement, configured retention periods and applicable law. Limited security, billing, contractual and audit records may be retained where required.
Meetwise may update these terms to reflect service, legal or security changes. Material changes affecting an active paid agreement will be communicated in advance where reasonably possible and will not retroactively remove accrued rights.
These terms are governed by Dutch law. Disputes that cannot be resolved in good faith are submitted to the competent courts in the Netherlands, unless mandatory law requires another forum. Questions can be sent to support@meetwise.pro. Last updated: 8 October 2026.
