Meetwise privacy policy
This policy explains how the Meetwise website and mobile app handle account, meeting and integration data during the current invitation-only pilot.

Who is responsible
Meetwise is currently operated by Thaddeus da Silva Corrêa in the Netherlands during its pilot phase. Privacy questions and requests can be sent to thaddeus@meetwise.pro.
For recordings made for an employer or customer, that organization may also be responsible for deciding why the meeting is recorded and who may access it.
Data we process
We process only the information needed to provide an invited workspace and its meeting workflows.
- Account information such as name, email address, workspace, role and Microsoft sign-in identifiers.
- Meeting information such as audio, titles, dates, participants, transcripts, summaries, questions, annotations and action items.
- Follow-up and integration information, including selected recipients, delivery history and references to records in connected Microsoft or CRM services.
- Operational security information such as device identifiers, push-notification tokens, processing status and audit events.
Why we use it
We use this information to authenticate invited members, record or upload meetings at their direction, generate reviewed meeting output, synchronize explicitly approved follow-up and protect the service. We do not use meeting content for advertising and do not sell personal data.
Recording responsibility
The person or organization starting a recording is responsible for having an appropriate legal basis and for informing participants when required. Meetwise does not make a meeting lawful merely by providing recording software.
Service providers
Meetwise uses carefully selected infrastructure and processing providers to operate the service. These currently include Supabase for authentication, database and private storage; the configured AI provider for transcription or summarization; Expo and Apple for mobile delivery; and Microsoft or a CRM provider when a workspace deliberately connects and uses that integration.
The precise provider and processing location can depend on the workspace configuration. Meetwise does not claim that every optional integration keeps all data in the European Union.
Retention and deletion
Workspace data is retained while needed for the pilot, the agreed service or applicable legal obligations. Organization retention settings may remove raw audio earlier. Owners and admins can permanently delete a recording; the audio object is removed before derived recording data, while a limited metadata-only audit event can remain for security and accountability.
Local mobile recording drafts remain on the device until they are uploaded, deleted or removed through the app's cleanup flow. Backups and provider logs may expire on a separate bounded schedule.
Access and security
The app is invitation-only. Live organization membership, role-based access, private object storage and row-level security restrict workspace data. No security control eliminates every risk, and Meetwise will update this notice as the pilot architecture changes.
Your choices and rights
Depending on applicable law, you may ask for access, correction, deletion, restriction, portability or an explanation of processing relating to you. You may also object or withdraw consent where consent is the basis. Contact thaddeus@meetwise.pro; we may need to verify your identity and coordinate with the workspace organization.
